How to ensure your event is adequately staffed

If you are about to hold an event, then you will almost certainly have spent a long time thinking about exactly what is going to happen, and making sure that everything is in place for the big day itself. However, if you haven’t paid enough attention to the staff you are going to hire for the event, then you aren’t ready, and for this reason this is something that you should think about carefully. You may not realise just how vital your choice of staff is when it comes to the overall success of your event, however when you consider the fact that all of your guests will be taken care of by these very staff, you will see how important it is to make the right choice.

How do I know what event staff I need?


There is no solid answer to this question, and it will very much depend on the kind of event you’re holding, and how many people are going to attend. You will also need to think about the length of your event, and the type of people who are going to attend.


For example, you may require people to attend to those parking their cars, staff to check tickets, waiting staff and customer services – but the exact people who you choose to hire will depend on the size and type of event that you’re holding. If you are choosing to hold a larger event, you may find that you need specific staff to take care of seating arrangements, greeting guests and making sure everyone is taken care of throughout the event.


If your event is being held on behalf of an organisation, they may be able to provide some staff to help, and you might also find that the venue you’re holding the event in can do the same. You will need to work out the staff who are already going to be attending, and consider how you are going to make up for any shortfall along the way.


Your choices could make or break the event


When you invite someone to an event that you’re holding, it’s important that they come away with positive feelings about their experience of your event. A major decider in their ultimate experience is how they are treated while they are there, and your event staff hold the key to this. If you hire staff who don’t have the experience needed to deal with your guests, there is a huge chance that they won’t be able to provide the positive atmosphere that you are trying to build, so it is always worth striving to hire a better calibre of staff where possible.


Give your staff the right training


Even if the people you hire have years’ worth of experience in the events industry, they will still need to be given plenty of training and information which is specific to the event that you are holding. For example, they will need to know as much as possible about your company, and why you’re holding the event. The more information they have, the better they will be able to deal with any questions that they might get along the way. The training they are given will help them to make sure your event is a success in every way.


Think about hiring an assistant


If you’re the one who is taking care of everything that is going on during the event, then you may find that the stress gets too much, meaning that you aren’t able to enjoy it as much as you should. For this reason, you should think about hiring someone who can oversee proceedings for you. Of course, you are still able to be heavily involved, but it can help a lot to have someone for your staff to report to who isn’t you.


Ultimately, if you know that you want your event to run smoothly and be a success overall, you will need to think carefully about the team that you have around you. This can make a massive difference, and can therefore give your guests the best experience possible on the day.
